Overview

MailUp supports Multiple Administrators, which means that you can have multple users of the MailUp admin console logged in at the same time. For each administrator, you can restrict access to specific lists and features.

This is particularly useful when you have different people on your staff that are collaborating in your email marketing efforts, or if you are an agency and are managing different clients with one MailUp account, which each client being a different administrator.

This is an optional feature and there is a small fee associated with adding new administrators (users) to your MailUp account.

Adding new users

Ordering new users

First, you will need to place an order for the number of additional administrators that you need to be able to add to your account.

  • Log into your account at https://www.mailup.com/login
  • You will be loggged into your account management area, not the MailUp admin console: the account management area is where you can review and edit your account
  • If you have more than one MailUp account, select the one for which you wish to add the new administrators from the drop-down
  • In the Additional options area, click on the button next to Additional administrators
  • Place your order

Creating and configuring a new users

Now that you have added to your MailUp account the ability to add one or more new administrators, you can create these new users and configure what each administrator can do within the MailUp admin console:

  • Which lists they will have access to
  • Which features they will be able to use.

In the left-side navigation, select Settings > Account settings > User permissions

The page that is loaded provides a list of existing administrators. Click on the Add new link to add a new user.

Managing list access

When selecting a list, you will see below the drop-down only the users that are associated with that list, while clicking the "Actions" button you will be presented with three options:

  • Set list access: select from all the available lists those that the user will have access to, and click "Save".
  • Password: set a password for each user and click "Save". Note that each administrator can change their own password after they log into the MailUp console under Account settings > My account.
  • Set permissions: you will see a list of all the channels and features, and you must simply check the options that you want to enable for that specific user.

 

Cannot add new users?

If you don't see a way to add new users (administrators) to your account, it means that you have probably reached the total number of users allowed for your account. Contact your MailUp account for more information.

Setting permissions

Each administrator account can have different levels of permissions so that only certain features are available. This is a description of the various areas of the system that you can grant or prevent access to.

  • SUSPENDED: when this check box is checked, the administrator cannot access the system
  • Channels: The items in this group correspond to the menus that allow you to create and send messages through different channels (Email, SMS, Fax, Voice or paper mail). If the box is selected, the user will be able to access the menu and its features. Please note that some channels may not be available in your country.
  • Standard features: The items in this group correspond to navigation items in the navigation. If the box is selected, the user will be able to access that section of the navigation and its features.
    • Statistics: includes access to all data related to a message that has been sent (clicks, opens, returns, etc.) and other useful marketing tools to extract information from the results of a campaign
    • Recipients Management (or Users Management): refers to the management of the contact database: import, export, and management of contacts.
    • Groups Management: refers to creating and modifying groups. Having access to groups management also allows you to remove multiple users at once from the contacts database as you can select all subscribers that belong to a certain group and delete them. 
    • Template Management: includes tools to create and modify templates for email messages.
    • Settings Menu: this gives access to List settings
    • Manage Menu: this gives access to Account settings.
    • Manage Users Permissions: allows the user to create and edit other administrators (list access, feature permissions)
    • Manage SMTP+ Users: allows the user to create and edit SMTP+ users. SMTP+ is the built-in SMTP relay system.
  • Other features:
    • Bounce Management: enables the page "Dsiplay Bounces" in the menu Statistics and Recipients. Allows you to manage bounced emails.
    • E-Mail Address Check: enables the page "E-mail Check" in the Recepients menu. This page allows you to look for incorrect addresses in the contacts database.
    • Edit Subscribers: Allows you to view and modify a subscriber's personal information
    • Attachments: Enables the ability to include attachments when adding or editing an mail message.
    • Email CheckUp: Enables a feature to check an email message for potential HTML errors, issues with dynamic fields, etc.
    • Show Wizard: Shows the "Getting Started" post-in on the home page
    • Multi Administrators: allows administrators to create new accounts. The account must also have access to the Access Permission menu.
    • Conversion Lab integration: Enables external link tracking via ConversionLab. A field for entering your ConversionLab account information  will be shown when add/modifying a message.
  • SPECIAL RESTRICTIONS:
    These special restrictions are generally applied by a Resellers to the shared accoun console, so that different users of the system (the reseller's clients) do not interact.
    • Do not show detailed statistics: prevents the user from seeing the list of addresses that opened or clicked on the messages, only the aggregate statistics will be visible .
    • Do not show Import: hides the import page, so that the user cannot import new recipients.
    • Prevents the schedulation and hides the STOP button: Hides the stop button from the page "send status / stop" and disables the function of sceduled delivery. This feature prevents a user from stopping any sending queues and then interfere with the time needed to complete the delivery to the orther users.
    • Hide Sending Details: This option hides the subject and the source list on the page of the newsletter "send status / stop", for items that are associated with lists that the user does not have access to. This is useful for console sharing, so that different administrators of the same console do not know what others are sending.
    • View Contract: If this option is selected, the terms of use for the system are shown the next time the user logs into their console.
    • Hide Marketing+: selecting this option will hide the Filters menu, Event based Messages menu and Autoprofile Menu, but it will not block those features on the other pages, for example the user can still use the filters in the Subscribers List page or Send Newlsetter page, or he can include a link to a ready Autoprofile Form.
    • Show Reputation Graph: displays on the homepage a chart that shows the reputation of the last newsletter sent. Reputation is a  summary statistical indicator that measure the goodness of newsletters, considering several factors (responsiveness of recipients, unsubscription, bounces, etc.).
    • Restricted access to newsletters: disable the function to create new email messages or modify existing ones. This is useful when you want to separate the creation of messages from the monitoring of transmissions.
  • SEND:
    • Send status / Stop: you can view the status page and stop running mailings to edit the existing sending queue.
    • Modify Return Path: This option is currently not available.
    •  ... Send Block: Selecting this option will hide and block the command to access the page to create a new delivery of that channel (Email, Fax, Voice, Snail mail)
  • RESELLER OPTIONS:
    These options are only available by purchasing the Private Labeling feature.
    • Whitelabel: activates the page "CONSOLE CUSTOM LOGO" in the "Manage" menu where you can change some elements of the console, including the ability to private labels the system.
    • Reseller: Allows you to change some elements of the email header so it does not mention our system.
  • MARKETING+:
    • Advanced Filtering: Allows you to create new filters. It also increases the availability of the Personal data fields to 40. Each console has a single, customizable filter for testing and evaluation purposes.
    • Autoprofile Menu: Allows you to create a new autoprofile forms and enables the tools in the newsletter editor to insert a link to the form.
    • Event Based Messages: Allows you to create and configure this useful feature.
  • EXTENSIONS:
    • Stats Extension : option not available.

How to set up an user with limited list access

If you are setting up a sub-user that should have limited access to one or more Lists:

  1. Check only the lists to which this additional administrator should have access to
  2. Set the following permissions:
    1. Uncheck Manage Users Permissions under Standard features so that the user cannot edit user permissions
    2. Uncheck Show Send status / Stop/ under Send so that the user does not have access to the shared send queue
